Discounted APC fees for subscribed journals

The universities have negotiated discounts for article processing charges (APC) if the authors want to pay the APC fee to open their article in a  paywall journal subscribed by the university of the corresponding author. You can see below the publishers that give discounts to the authors at the University of Lapland.

Opening the articles for free or by paying minor fees according to the library subscription agreements is recommended.

Paying extra APC fees for opening the articles in paywall journals is not recommended by the open science policy of the university. It can be done, if e.g. the funder requires opening the publications within a certain number of months and the embargo for opening a self-archived copy of the article in the journal is longer. The university doesn't have central funds for paying the APC fees, the money should be included in the project budget.

Articles in Sage journals

FinELib has made a Sage Premier agreement with Sage for years 2020-2022. The agreement includes access to approx. 950 Sage journals, as well as APC-free open access publishing for researchers in Sage hybrid journals and 20 % discount to APC fees in Sage OA journals.

OA-publishing in Sage hybrid journals without APC

  • Sage will contact all authors, whose articles are published in Sage hybrid journals in 2020, before May 10, and fix the opening of the articles if the authors agree.
  • After May 10, 2020, SAGE identifies your right to publish Open Access free of charge based on the institutional affiliation and the e-mail address you give when you submit your manuscript.
  • When your article is accepted for publication, please complete the steps to sign SAGE’s Journal Contributor’s Publishing Agreement as normal. SAGE still requires this agreement for your article to proceed to production at SAGE.
  • When your article is received at SAGE, SAGE will send you and any other authors of the article an e-mail where SAGE informs you of your right to publish Open Access at no cost to you. The e-mail contains a link to the SAGE Open Access Portal. Anyone of the authors of the article can follow the link to proceed to the next step.
  • You will have 14 days to enter the portal to accept Open Access publication of your article. If Open Access is not accepted during this period, SAGE will publish the article behind paywall and you will lose the benefit of the free Open Access publishing. (You will get a reminder email from SAGE after 7 days from the first email.)
  • In the SAGE Open Access Portal, you can see the information on your article.
  • To publish your article Open Access, please, select:
  • Would you like to make your article open access? → Yes, make my article open access
  • Log in to the portal with your user ID and password or register if needed.
  • You will then receive the information that your article will be published Open Access and you can log out.
  • Accept the license for Open Access publishing (CC BY) and fill in the additional information on the copyright.

Articles in Sage OA journals with 20 % discount on APC

  • Once your article has been accepted for publishing, SAGE directs you to sign the licensing agreement and sends you a link by email to the APC payment system. By clicking the link, you will get to your author charges estimate page, containing information on your article’s APC.
  • In order to get the discount, click "APPLY DISCOUNTS” and a new window opens.
  • On this page you should write the code FINELIB2020 in the box ”Promotion campaign discount / Promo code” and click "APPLY DISCOUNTS", then close the window.
  • After this, you will see the discounted APC. When you click the button Payment Options, you are prompted to sign in or to create an account to Copyright Clearance Center (CCC). After this, you can choose your preferred payment method: credit card or invoice. The invoice will be sent to you by e-mail within 24 hours. When the order is complete, you will receive an email with your transaction summary.
  • If for some reason you are entitled to a larger discount, it will supersede the discount of this agreement.
  • If you forget to give the discount code, you can ask for a corrected invoice, provided that you haven’t yet paid the invoice. Once the payment has been made, it isn’t possible to get a refund anymore.

Articles in Taylor & Francis journals

Researchers can publish their articles open access free of charge in the Taylor & Francis journals included in the list below and in the journal Annals of Medicine, if the article is accepted for publication between 3.6.2020 and 31.12.2022 and the corresponding author is a researcher of a student of one of the Finnish universities or research institutes that are subscribing to the journals of Taylor & Francis. The University of Lapland is subscribing to the SSH collection of Taylor & Francis journals, which means that the researchers of the University of Lapland can publish their articles as OA without APC fee if the journal belongs to SSH package. If the corresponding author is from another research organization that is subscribing to other collection of T & F journals, the list of journals is different.

Eligible articles are core, peer reviewed research articles, defined below but not necessarily limited to the below list.

T&F has two different routes for leaving the manuscript to be accepted: Editorial Manager and ScholarOne. This varies journal by journal but the system directs you automatically to the right route. At the acceptance stage you are identified belonging to a certain organization on the basis of the name of the organization. When sending the article you should carefully select your organization from the drop down menu and use your organizational email address to make your organization known to T&F. In case your affiliation changes after leaving your manuscript don’t forget to tell your production editor about your new affiliation.

If your article is accepted, T&F will send you and your organization an email about the acceptance and at the same time they will inform you about your organization’s Open Access agreement with T&F. After this (usually within 24-48 hours) you will get another email which contains a link to the publishing agreement.

Option 1.

The library accepts the open access publishing of your article free of charge in the T&F system before you have signed the publication agreement.

  • T&F sends you e-mail which contains a link to the system where you can select the Creative Commons license. The recommended license is CC BY.
  • Sign the agreement either electronically or print the agreement, and sign and upload it into the system.
  • Your article is published open access by using the CC-license you selected.

Option 2.

You sign the publishing agreement before the library has approved the publishing of your article open access free of charge.

  • T&F sends you email containing a link to the system, where you can choose to publish your article open access.
  • Select the open access publishing option in the T&F system.
  • Complete the details and select the right institution from the drop down menu at the foot of the page.
  • The system will recognize that the institution is part of the agreement and will direct you to this page, informing that you may be eligible for APC funding.
  • You need to accept the quote. If approved for funding, the cost to you will be 0 €.
  • Select the Creative Commons license. The recommended license is CC BY.
  • Sign the agreement either electronically or print the agreement, and sign and upload it into the system.
  • T&F sends you e-mail to let you know that your request to publish open access has been sent to your organization.
  • After this the library confirms in the T&F system that you are entitled to publish open access free of charge.
  • Your article is published open access with the CC license you selected.

Articles in OUP Journals

According to the subscription agreement of the library the authors at the University of Lapland are able to publish their articles openly without APC fees in OUP hybrid journals.The corresponding author's affiliation has to be the University of Lapland or some other organization in the agreement.

Articles in Elsevier journals

Under FinELib consortium’s agreement with Elsevier, corresponding authors can publish their articles open access without article processing charge (APC) in Elsevier hybrid journals eligible for the agreement. There is a limited number of free open access articles available during the agreement period 2021-2023.

Discount is available when these conditions are met:

The list includes over 1600 Elsevier owned  hybrid-journals and over 100 Full OA-journals. The society-owned titles published by Elsevier are not included. The article types eligible are full length journal articles, review articles, short communications, case reports, short surveys, original software publications, data articles, micro-articles, protocols, replication studies, videos. 

  • Article is accepted between 1.1.2021-31.12.2023. 

Publishing an article open access with the FinELib discount in Elsevier journals – instructions to the corresponding author:

  1. When the article, in which you are the corresponding author, is accepted, Elsevier sends you an e-mail and asks you to fill in the Rights and access form (see below).
  2. When you want your article to be published open access, please remember to ensure that you have the funding for the discounted APC payment.
  3. When filling in the  Elsevier Rights and access form, please choose:
    • Corresponding Author's organization: Start typing the name or your organisation and select the correct one from the list offered by the system. If you do not find your organisation's name, please contact library (research.library(at)ulapland.fi) for more information.
    • If relevant in the case of your article, fill in the "Add Co-author Details" and "Funder Details".
    • If your article is going to be published in a hybrid (not full OA) journal, the system offers you two publishing options: Gold Open Access (article will be open access to everybody) and Subscription (only journal's subscribers will have access to the article)
    • Select your user licence: You have the choice between two different CC-licenses. In both options your own reuse rights regarding the article are defined by the CC-license terms. The options are:
      • CC BY 4.0 (Attribution) Creative Commons describes the license like this: This license lets others distribute, remix, tweak, and build upon your work, even commercially, as long as they credit you for the original creation.
      • CC BY-NC-ND 4.0 (Attribution-NonCommercial-NoDerivs) Creative Commons describes the license like this: allows others to download your works and share them with others as long as they credit you, but they can’t change them in any way or use them commercially. Please note that if you choose this, more restrictive CC BY-NC-ND license, the rights to commercial use and modifications (derivatives) stay with Elsevier.
    • Complete the form
  4. After you have completed the request your request will be forwarded to your institution for approval. Once your institute has verified your eligibility, you will receive a confirmation and your article will be made freely available online.
  5. In the event that your request to publish open access is not approved (i.e. if you are not eligible) or the maximum number of free open access articles has been reached you will have the option to pay the APC yourself.

Articles in Springer Nature Journals

It is assumed that all corresponding authors in the University of Lapland will want to publish open access without any APC fee. If this is not the case with you, complete the My Publication process and then contact your library/information service. They will reject verifying your affiliation in the system. You will then receive a new link to My Publication and your article will be published behind a paywall.

FinELib consortium’s agreement with Springer Nature includes open access publishing in Springer’s hybrid titles during the agreement term 1.1.2021-31.12.2023. The author does not need to pay an APC (article processing charge). The charges are covered by the agreement.

Conditions for opening an article

  • Corresponding author is affiliated to the University of Lapland (or another Springer Compact subscribing institution)
  • The article will be published in a journal included in the Springer Compact collection, see list of titles below
  • The article type is
    • Original Paper
    • Review Paper
    • Brief Communication
    • Continuing Education

Instructions to the corresponding author

Article in Springer’s standard workflow (most journals belong in this category, see journals list)

  • Once your article has been accepted, you will receive a link to the My Publication system
  • Choose your affiliation: state the name of the subscribing institution you are affiliated to in the entry field. The names are in English. If you don’t find The name of your institution, type in the city or country and the system will prompt institution names.
  • You will see the Green Box describing the FinELib agreement (an example using Aalto University)
  • Agree to the open access license used by the journal title
    • CC BY 4.0 - Creative Commons describes the license like this: This license lets others distribute, remix, tweak, and build upon your work, even commercially, as long as they credit you for the original creation.
    • CC BY-NC 4.0 - Creative Commons describes the license like this: This license lets others remix, tweak, and build upon your work non-commercially, and although their new works must also acknowledge you and be non-commercial, they don’t have to license their derivative works on the same terms.
  • Order color figures, offprints or posters if you like. Note that you will personally be charged for them, your institution only covers the article processing charge (APC).
  • Fill in your contact information in the ”Your Affiliation” form.
  • Send the order. Your price is 0 EUR unless you have ordered color figures, offprints or posters.
  • Springer will alert your institution and your library/information service will verify your affiliation in the  system.
  • Springer will publish your article open access.

A minority of journals have a non-standard workflow (see journals list)

The process varies by journal title. Use the name of your institution and your institutional email address in all communications with the journal. Agree to the open access license used by the journal title according to the instructions above. Springer will alert your institution and your library/information service will verify your affiliation in the  system. Springer will publish your article open access.

Articles in Emerald journals

Open Access Publishing in Emerald Journals
FinELib consortium’s agreement with Emerald offers authors an opportunity to publish their articles voucher under the CC BY-license with a free open access. This means that there is no article processing charge for the author. The vouchers can be used during the agreement term (1.1.2021-31.12.2023)

There is a limited amount of free vouchers annually. This page will be updated when the vouchers have been depleted.

Who is eligible to use the free vouchers
Corresponding authors affiliated to the University of Lapland or other Emerald Premier subscribing institutions are eligible to use the free vouchers. The author must use his/her institutional email address when submitting the manuscript. Emerald will recognize the authors eligibility for the voucher from the institutional email domain.

What can the vouchers be used for?
The vouchers can be used for publishing in all titles in the Emerald Premier-collection as well as in Emerald’s only fully open access titles ”International Journal of Climate Change Strategies and Management”.

The vouchers can be used for the following article types:

  • Research Paper
  • Viewpoint
  • Technical Paper
  • Conceptual Paper
  • Case Study
  • Literature Review
  • General Review

Publishing an article open access in Emerald journals – Instructions to the corresponding author

1. When you submit your manuscript in Emerald’s ScholarOne system

  • Use your institutional email address. Emerald will recognize your eligibility for a free voucher from your email domain. If you have previously used another email address in the system, please edit it accordingly. 
  • Declare you interest to use a free voucher to publish open access. Do this in Step 4: Details and Comments. Tic the box  ”Yes, I want to publish my article as Open Access and my institution is eligible for a prepaid APC-voucher”. 

2. When the article for which you are the corresponding author has been accepted for publication

  • You will receive an acceptance letter via ScholarOne. See screen shot.
  • In addition you will receive within 30 days from the acceptance letter a link to a CC BY-license. Complete the document, sign it and return it to the editor via email.  Creative Commons describes the license like this: This license lets others distribute, remix, tweak, and build upon your work, even commercially, as long as they credit you for the original creation. See attachment.
  • If all free vouchers have been used  by the time your article is accepted, you have the right to direct the publisher to publish you article as a paywalled article (or alternatively pay the article processing charge).

3. Emerald will publish your article under the CC BY-license.

Articles in MDPI journals

Authors from University of Lapland will get 10 % discount on articles accepted in journals published by MDPI. The authors will get a discount on the Book Processing Charges (BPCs) and on Chapter Processing Charges (CPCs) in Editions for MDPI Books as well.

Authors are prompted in the last step of submission to determine if they are eligible for discounts under the open access program. The program is pre-selected if authors are submitting from within the network of the institute (IP range detection).
